Its form varies: from reading tabloid articles, to watching television, to cleaning or raiding the fridge. But how do you maintain focus and avoid the temptation to postpone important tasks? We offer you five proven strategies to overcome procrastination and effectively handle your workload.
1. Break Down Large Projects into Smaller Tasks Even though large projects may seem daunting at first glance, don’t let yourself be discouraged or put off from the beginning. The key is to break down big tasks into smaller, manageable steps. Decide what you need to do first and proceed step by step. Every small success will strengthen you and give you the courage to continue. Before you know it, you’ll be at the end of the project!
2. Set Specific Deadlines and Stick to Them Without time limits, you can easily fall into the trap of procrastination. We all know this very well from the time of high school exams or college tests when without a schedule and discipline everything miraculously piled up in the end anyway. However, if you set a precise deadline for each part of the task, you increase the likelihood of completing the task on time. The “pomodoro” method, which is one of the most commonly used productivity techniques, can also help. It recommends alternating 25-minute work blocks with 5-minute breaks, and after four such “pomodoro” cycles, taking a 15-20 minute break. Try it and see how it helps improve your efficiency.
3. Eliminate All Distractions And do it uncompromisingly. Facebook, children’s photos, clutter on the desk, sweets… One of the most effective ways to avoid procrastination is to remove everything that could distract or divert your attention. Clean up your desk, and if you work on a computer, use applications that block and limit distracting websites. It will also help if you leave sorting emails until the afternoon and don’t do it several times a day, but only once. You’ll see that you’ll be able to concentrate better right away.
4. Establish a Routine Routine may sound boring, but it’s one of the most effective methods of combating procrastination. When you establish a working regimen, your brain and body get used to this routine, and work becomes easier. It’s like setting an internal autopilot that keeps you on the right track. Part of the routine may be a morning coffee and newspaper or a walk in the forest, but the important thing is that you stick to the set limits.
5. Learn to Say No We often procrastinate because we’re overwhelmed with various commitments. Learning to say “no” to less important tasks and requests. You’ll see how liberating and beneficial it is. Each “no” to others is a “yes” to your productivity. Think of it as defending your projects against enemies who want to steal your precious time. It’s not your obligation to accommodate everyone just to be polite or nice. You’re not a charity; you’re an entrepreneur.
6. Delegate and Outsource In every entrepreneur’s life, there come times when the to-do list seems endless and time to complete tasks ticks relentlessly. That’s when it’s time to consider whether it’s more appropriate to delegate some responsibilities to subordinates or outsource them to other companies. Realize that not every task requires your personal attention and that you are not indispensable. Delegating means finding a competent person who can perform the task perhaps even better than you. And it can save you a lot of money because such a person can cost 2-3 times less per hour than your hourly wage.
